Role Value Proposition: 

This full-time position is responsible for providing a high level of administrative support to Teresa Kenny, Senior Vice President of External Reporting and Technical Accounting, which is part of the Controls, Analysis and Reporting Team.

 

This position requires a proactive attitude, forward looking mindset and enthusiasm for being an integral part of the team and workflow.  Candidate must have excellent organizational skills, demonstrate the ability to plan ahead, give attention to detail, be flexible and have the ability to prioritize workload and multi-task in a changing environment.  This individual must be able to work independently with minimal supervision and demonstrate excellent interpersonal and communication skills, both verbal and written.  The individual is expected to maintain confidentiality and exhibit a high level of discretion and professionalism.  

  

Key Responsibilities:  

Administration

  • Manage Microsoft Outlook calendar, inbox, and address books
  • Schedule and coordinate meetings / conference calls; prepare related materials / correspondence; print materials
  • Manage travel, calendar management, expense reports, catering, maintain email distribution lists  

Managing External Reporting and Technical Accounting Activities

  • Assist SVP in managing External Reporting and Technical Accounting activities with group related meeting, calendar management, catering and logistics
  • Coordinate various on-site and off-site meetings and engage with Conference & Event Planning
  • Maintain Organization charts and Officer Bio’s  
  • Create requisitions for POs – once provided with approved SOW/CEAR/Bid documents
  • Set up New Hires – cube, phone set up. Laptop accessories etc 

Invoices

  • Process expense reports and vendor invoices for reimbursement/payments and reconciliation i.e. facilitate invoices that are submitted via Ariba 

 

Essential Business Experience and Technical Skills:

Required:

  • 10+ years of related experience providing business administration in a fast pace work environment
  • Extensive knowledge of PC equipment, software programs
  • Strong organizational and interpersonal skills
  • Highly proficient/fluency in Microsoft Office programs
  • Highly professional in presence and communication skills (oral and written)

 

Preferred:

  • High School diploma / Desired Associate or Bachelor Degree
