Role Value Proposition: 

The Executive Assistant provides administrative support to the head of communications for the U.S. Business and Global Brand & Marketing and serves as the 15-member team coordinator. This person will be asked to manage ad-hoc projects supporting the team and will provide back-up administrative support for the Chief Communications Officer and Head of Employee Communications when their assistant is out of the office.

 

Key Responsibilities:

  • Scheduling and maintaining calendars of appointments, meetings and travel itineraries and coordinating related arrangements for the Head of U.S. Communications.
  • Prioritizing and managing multiple projects and following through on issues promptly and effectively.
  • Managing a wide range of administrative and executive support tasks and providing general administrative assistance as necessary.
  • Coordinating logistics for Town Halls, team building events and other meetings and celebrations.
  • Preparing and processing purchase orders. Tracking and assisting with financial processes including requisitions, SOWs, vendor onboarding and financial management, billing, budget tracking and reconciliation.

 

Essential Business Experience and Technical Skills:

Required:

  • Strong written and verbal communication skills and the ability to communicate effectively with all levels of the organization.
  • Good analytical abilities to collect, assemble, and organize data.
  • Ability to identify, resolve and follow up on issues while staying ahead of requests.
  • Ability to handle and maintain confidential material.
  • Strong interpersonal, organization and time management skills.  This person must be able to multi-task and prioritize their work in a fast-paced environment.
  • Technological proficiency with video/WebEx and teleconferencing.
  • A high level of proficiency with computers, advanced knowledge of MS Office (Word, Excel, and PowerPoint) is required.
  • Professional presence, able to build and sustain strong working partnerships.

 

Preferred:

  • Bachelors Degree is desired.
  • 2-5 years of administrative experience supporting a senior level executive. 
  • Project management skills is highly preferred.
  • Experience with vendor management.
