Role Value Proposition: 

The role has exposure to IT asset management, ITIL reporting, Vendor Management and other IT operational processes.     

 

The IT Operations Assistant will have responsibility for the procurement, distribution and management of IT assets across multiple sites in the UK&I. The team member will also have responsibility for ensuring assets are recorded correctly in our Service Now CMDB and that stock levels are maintained to an appropriate level on each of the sites. This will involve travelling to the sites on a quarterly basis to conduct stock checks. The role also includes a range of operational tasks including tracking Support and Maintenance contracts renewals and assisting with the monthly financial accruals. The individual will also be required to undertake other admin duties as directed by the UK&I IT Operations Manager.

 

 

 

Key Responsibilities:  

 

  • Completion of all service requests and incidents in line with agreed SLAs
  • Validation & approval of all new & replacement standard hardware requests in Service Now
  • Management of hardware and software assets through full lifecycle from purchase to disposal. (Includes registering of asset in Service Now, maintaining stock levels on each site and conducting periodic audits).
  • Provision, recovery and secure disposal of desktops/laptops, mobile devices, home worker kits, other hardware (e.g. printers, web cams, VDU’s etc)
  • Administration of telecoms services including fixed lines, mobiles devices, new connections and terminations.
  • Requesting quotes from vendors, liaising with the business functions and creating associated requisitions in Ariba system
  • Processing of Purchase Orders and Invoices in Ariba on behalf of the business
  • Tracking of service contract renewals with 3rd party vendors
  • Monthly Accruals management
  • Undertake such other duties as may be directed by Operations Senior Management (e.g Preparation of monthly IT operational statistics)

 

Essential Business Experience and Technical Skills:

 

Required:

  • Analytical and detailed mindset
  • Excellent communication skills, verbal and written
  • Proactive and motivated
  • Ability to challenge / review with an eye for detail and focus on quality assurance
  • Ability to work on own initiative
  • Previous experience managing hardware and software assets
  • Proficient with the use of all MS Office products
  • Relevant IT or Financial qualification
  • Appropriate IT accreditation (e.g. ITIL, ITAM Foundation)
  • Knowledge of the Service Now toolset
  • Knowledge of the Ariba Financial Management system
  • Previous experience in the financial services industry
  • Experience in vendor management
