HR Administrator

Reporting to the Manager, Human Resources.  Supports day-to-day local HR operations to ensure HR services are delivered timely and effectively and HR internal controls are adequately implemented to satisfy local statutory and regulatory requirements, whereas local HR practices comply with relevant Global US & Regional policies.



Key Responsibilities:

  1. Provide support on daily HR operational functions in:
    • Payroll processing, reconciliation, approval; vendor liaison and management
    • data management for HR and payroll/eLeave systems
    • Various benefits enrollment and movement reporting
    • Employment contract and HR letters preparation
    • Work visa related matters, including application, extension, termination, etc.
    • Update and administer leave records in the system
    • Pre-Employment check
    • Employment reference check
    • Vendor/ Service Provider management
    • Invoice settlement
  2. File maintenance – including scanning of documents, opening of P-files and filling of all HR documents
  3. Monitor and follow up on customer relationship management (CRM) cases, incl employee ID creation, new joiner process, separation process, salary movements, title changes, etc.
  4. Answer enquires on payroll and benefits
  5. Ensure adequate procedures and process execution controls are in place, maintained, and monitored to ensure compliance with internal and external requirements
  6. Support payroll-related projects to improve process efficiencies
  7. Support Annual Review, Financial Planning and Group Benefits Plan renewal
  8. Support the implementation of various HR programs and initiatives including process, operational efficiency review, etc.
  9. Support in driving future process and system enhancements for local operations


Candidate Qualifications:

Essential Business Experience and Technical Skills:

  1. Preferably Degree holder.
  2. 3-5 years of relevant experience in payroll and benefit administration.  
  3. Well versed in local Malaysia employment ordinance, provident funds regulations and other statutory ordinances
  4. Attention to details
  5. Proficient in Microsoft Office applications
  6. Good interpersonal, communication and presentation skills
  7. Fluency in spoken and written English & Malay
