Key Responsibilities: 

  • Coordinate multiple internal and external meetings involving Regional Vice President and other senior leaders in the company as well external stakeholders.
  • Manage travel arrangements and prepare expense reports.
  • Manage vendor contracts, vendor onboarding, purchase orders and processing payments of departmental invoices; Organize, prioritize, and direct general incoming and outgoing information, requests, and queries (by email, phone, and mail).
  • Troubleshoot IT-related issues with Helpdesk and other internal resources; Organize electronic and soft copy documents and communications including those that may require confidential treatment.
  • Assist with managing internal and external events (conferences, planning meetings, receptions, etc.).
  • Assist with the general operations of the office, as well as support for Regional Directors as needed.


  • Manage Microsoft Outlook calendar, inbox, and address books.
  • Schedule and coordinate meetings, conference calls; prepare related materials/correspondence as needed; print materials and assist in preparation/coordination of memoranda, presentations, reports, etc.
  • Calendar management, expense reports, catering, regional meeting logistics, org charts, distribution lists.
  • Assist with supply ordering, facilities request, security request, etc.


  • Process expense reports and vendor invoices for reimbursement/payments and reconciliation.
  • Interface with the team and clients at all levels of the organization, both within and outside the company.


Essential Business Experience and Technical Skills:


  • Exceptional customer service capabilities and a demonstrated ability to work to a high-quality standard.
  • Outstanding attention to detail with good follow-up skills, proactive, stays ahead of requests.
  • Excellent organizational and time management skills; Calendar/schedule management.
  • Well-developed written, communication and inter-personal skills; demonstrating an ease with interacting professionally – at senior levels - within and across functional teams.
  • Must be able to multi-task with a keen eye to detail and handle heavy flow of incoming and outgoing requests for meetings or information.
  • Self-starter; ability to independently anticipate needs, look ahead, plan for contingencies, manage concurrent tasks, prioritize tasks and follow-up; Ability to recognize opportunities to improve and stream-line processes.
  • Strong team player, seen as the ‘go to’ person on both teams for administrative and troubleshooting assistance.
  • Strong PC skills, including high proficiency in Microsoft Office Suite: Outlook, PowerPoint, Word, Excel, WebEx and internet skills.
  • Discretion in handling confidential materials/information.


  • Bachelor’s Degree or related business experience preferred
