Role Value Proposition: 

Provide various specialized and general administrative support services in support of a President/Executive Group Member. 


Key Responsibilities:  

Provides administrative support to senior executive and staff, including:

  • Compose correspondence expressing executive's viewpoint; provide leader’s views and policies on major organizational issues 
  • Typing/drafting documents and reports using Microsoft Office and proprietary software
  • Organize and prioritize incoming email; responds to external requests for information
  • Manage incoming calls and route accordingly; maintains file call-up systems and databases 
  • Manage and coordinate global travel and meeting schedules, prepare agendas and meeting briefings for executive
  • Coordinate department's administrative activities
  • Recommend improvements to administrative procedures
  • Manage/process expense reimbursements in a timely manner
  • Decides if executive should be notified of important or emergency matters
  • Conducts research, compiling and analyzing data and performs complex tasks
  • Assemble/collate materials for distribution
  • May assist in directing work of junior staff members


Essential Business Experience and Technical Skills:

Functional Responsibilities:

  • 8-10 years of administrative experience supporting a President/EVP level financial services leader
  • Ability to multi-task and prioritize work in a fast-paced environment
  • Excellent verbal and written communication skills
  • Ability to manage within a complex matrix reporting environment with cultural sensitivity
  • Ability to maintain confidentiality
  • Strong organizational and interpersonal skills
  • Proactive and effective decision maker that manages with limited oversight
  • Seasoned professional with advanced knowledge of Microsoft Office and proprietary software
  • Performs other duties as required or assigned. 
  • Undergraduate degree a plus
